DEFENSE LOCKSMITH • BUFFALO, NY • 24/7
If you own rental property in Buffalo, your keys are quietly costing you money. Every time a tenant moves out you either pay to rekey the locks, hand over a copy and hope the old one never turns up again, or wrestle with a coffee can full of brass that nobody can tell apart. A master key system ends all of that — and Defense Locksmith built a free Master Key System Designer that lets you plan one for your entire building in a couple of minutes.
This guide explains what a master key system is, why landlords and property managers benefit from one more than almost anyone, and exactly how to use the free tool to design your system, price it, and manage your locks long after they are installed.
What is a master key system?
A master key system is a set of locks engineered so that a single “master” key opens every door, while each individual key opens only the one door it belongs to. It is the difference between one clearly organized ring and a tangle of look-alike keys you have to test one by one in the cold. The magic is in the pinning: each cylinder is built with extra “master” pins so it accepts two different keys — the tenant’s and yours — without either key working anywhere it shouldn’t.
In a typical Buffalo rental building, the system has three layers:

- The master key — yours, and your superintendent’s. It opens every door in the building: apartments, basement, laundry, boiler room, storage, and common areas.
- Sub-master keys (optional) — one per floor, wing, or building, so a part-time manager or a contractor can reach only their assigned section and nothing else.
- Change keys — one per unit. A tenant’s key opens their apartment and absolutely nothing else.

Why landlords need a master key system
Most homeowners can get by with a couple of keys. Landlords cannot. The moment you have more than a handful of units, keys become an operational problem — and a liability. A properly designed master key system solves several headaches at once:
- One key for everything you manage. No more carrying twenty keys to a building inspection or an emergency call. Your master opens it all.
- Faster maintenance and showings. Your handyman, your leasing agent, and your plumber can be given a sub-master for just the building or floor they need.
- Privacy and legal protection for tenants. Each tenant’s key works on their door only, which keeps you clearly on the right side of New York habitability and quiet-enjoyment expectations.
- Real key control. With a restricted keyway, blanks can’t be copied at the corner hardware store, so you always know how many working keys exist.
- Lower long-term cost. When a tenant leaves, you can rotate hardware instead of rekeying — more on that below.
The free tool: design your whole building in minutes
The Master Key System Designer walks you through a few simple questions — what the building is, how many units, what level of security — and instantly recommends the right lock brand (Schlage, Kwikset or Yale), keyway, and pin count, then builds the complete keying plan. It calculates the exact cut for every key, the pinning chart for every cylinder, and produces a clean PDF cut-sheet set you can hand straight to a locksmith. Every plan is checked so that no key ever opens a door it isn’t meant to.
How to use it — step by step
- Start. Choose “Apartment building — tenants” and enter how many units you have. Or pick a ready-made template.
- Size & structure. Decide how many admin levels you want (one master, or a master plus per-floor sub-masters), and name the levels in plain English — even after real people, like “Simon the owner” or “Floor Master.” You can type your real unit numbers (101–148, for example) and the tool labels every key with them.
- Lock & keyway. Confirm the recommended brand and keyway, or switch to another. Restricted keyways are one click away if you want copy protection.
- Review & generate. Get the full keying chart, a price estimate, and the printable PDF. Want deadbolts or doorknobs keyed to match? Tick “one for every key” and they’re added for every unit.
The landlord’s killer feature: swap locks at tenant turnover
Here is where the tool pays for itself. Sign in with Google (free) and you get a personal zone where every system you design is saved, and where you can keep an inventory of your actual locksets. When a tenant moves out, you don’t have to pay a locksmith to rekey the door. Instead, you swap the lockset on that unit for a different one you already own — one with a different key — and the old lock goes back into storage to be reused on another door later.
The result: the departing tenant’s key is instantly dead at that address, the new tenant gets a fresh key, and you didn’t pay a rekey fee. Do it yourself in ten minutes, or have us do it on a service call. Either way, it’s cheaper than rekeying every single turnover — and far safer than trusting that every old key came back.

| At tenant turnover | Rekey the lock | Swap the lockset (our tool) |
|---|---|---|
| Typical cost per door | $19+ per cylinder, every time | $0 if you swap it yourself |
| Old key still works? | No (after rekey) | No (different key entirely) |
| Hardware reused? | Same lock stays on the door | Retired lock reused on another unit |
| Time | Locksmith visit + pinning | ~10 minutes, no special tools |
| Tracked in your account? | No | Yes — full lock inventory |
“Most landlords I meet are still rekeying every apartment by hand, or worse, never changing the locks at all. With a master system and a small pool of spare locksets, turnover becomes a five-minute swap instead of a service bill — and you always know exactly who can open what. That’s the whole point of doing it right the first time.”
Key control: stop unauthorized copies
Standard keys can be duplicated anywhere for a dollar. That means every tenant, every ex-tenant, and everyone they ever handed a key to could be walking around with working brass. A restricted keyway — like Schlage Everest or Primus — uses patented blanks that hardware stores don’t carry and can’t cut. Copies only come from your locksmith, on your authorization. For a landlord, that is the single biggest security upgrade you can make, and the tool lets you choose it in one click. Pair it with a simple sign-out sheet and you have genuine accountability over every key in your portfolio.
What it costs
The designer gives you a transparent, itemized price estimate built from our published rates — design, cutting each key, pinning each cylinder, and any deadbolts or doorknobs you add. You see the number before you ever call. Larger portfolios and commercial buildings are covered under our commercial locksmith service.
Deadbolts and doorknobs, keyed alike
Most apartment doors have two locks — a knob and a deadbolt. There is no reason a tenant should carry two different keys. In the tool, add deadbolts and doorknob locksets and tick “one for every key” so every unit gets matching hardware keyed to the same change key, all under your master. One key per tenant, one master for you, both locks covered.
Frequently asked questions
Is the master key tool really free?
Yes. Designing your system, viewing the keying chart, seeing the price estimate, and downloading the PDF are all free. Members who sign in can also save systems and build larger ones. You only pay if you have us cut and install the hardware.
Will a master key system make my building less secure?
No — done correctly it makes it more secure. The plan is mathematically checked so no tenant key opens another unit, and restricted keyways stop unauthorized copying. The most insecure thing a landlord can do is reuse the same lock and key for years across multiple tenants.
What if I have more than 100 units?
Guests can build systems up to 100 keys. Sign in with Google (free) to design larger systems, and call us at (716) 803-2934 for big portfolios — we’ll engineer it with you.
Can I add locks to the system later?
Absolutely. A master system is designed with room to grow. Save your plan in your personal zone and we can extend it whenever you add units or buildings.

Do you install it, or just plan it?
Both. Use the free tool to plan and price it, then book Defense Locksmith to cut the keys, pin the cylinders, and install the hardware across Buffalo, Erie County and Niagara County. We also handle emergency lockouts if a tenant gets stuck in the meantime.
